Executive Summary & Key Takeaway

Outlook doesn't have an 'Import MBOX' button. Here's our battle-tested SysAdmin guide to importing Thunderbird, Apple Mail, and Google Takeout MBOX archives into Outlook safely.

On This Page (6 sections) ▾

Microsoft Outlook for Windows (including Outlook 2026, 2021, and Microsoft 365) does not have a built-in option to open or import .mbox files. If you check Outlook's File > Open & Export > Import/Export menu, it only accepts Outlook Data Files (.pst) and spreadsheet files (.csv).

Because Outlook cannot read MBOX archives on its own, you must either transfer the messages through an intermediate email program or convert the files into an Outlook data file first.

3 Practical Methods to Import MBOX into Outlook

Because Outlook does not open MBOX files directly, select the method that matches your installed applications, account setup, and folder requirements:

MethodBest Suited ForPrerequisitesData Handling & NetworkConstraints
Method 1: Thunderbird + EML Drag & DropSimple archives with few foldersMozilla Thunderbird installedFiles extracted on disk; network sync depends on target folder in OutlookManual subfolder recreation; large drag-and-drop batches can hang Outlook
Method 2: Dual IMAP Server RelayMoving mail between accounts without file convertersActive IMAP account added to both clientsCloud-routed (messages upload to and download from intermediate mail server)Governed by provider daily upload limits (e.g., 500 MB/day) and storage quotas
Method 3: Direct MBOX to PST ConversionComplex folder trees or systems without ThunderbirdDedicated conversion utilityGenerates files on local computer; verify network policies if air-gappedRequires third-party software; no Thunderbird prerequisite

Method 1: The Thunderbird & EML Drag-and-Drop Bridge

If you already have Mozilla Thunderbird installed, you can extract individual .eml files from your MBOX archive and drag them into Outlook.

Ingesting MBOX into Thunderbird:

  1. Open Mozilla Thunderbird.
  2. Install the free community add-on ImportExportTools NG (Tools > Add-ons & Themes).
  3. Right-click Local Folders in the left sidebar, choose ImportExportTools NG > Import mbox Files > Individual mbox Files.

  1. Browse to your .mbox file and click Open. Thunderbird parses the byte stream and populates a new local folder containing all imported messages.

Exporting to EML and Dragging into Outlook:

  1. Click into the imported folder in Thunderbird, press Ctrl + A to select all emails.
  2. Right-click, select Save Selected Messages > EML format, and save them to a temporary directory on your local disk.
  3. Launch Microsoft Outlook. Determine your destination folder:
  • Local Storage: To keep messages strictly on your computer without cloud syncing, create a target folder inside an open local Outlook Data File (.pst).
  • Cloud Mailbox: If you drop messages into an Exchange, IMAP, or Microsoft 365 folder, Outlook will automatically upload and synchronize those messages to the mail server.
  1. Snap your Windows File Explorer window next to Microsoft Outlook.
  2. Select the exported .eml files in File Explorer and drag them into your chosen Outlook folder.
⚠Warning

Limitations of Drag-and-Drop EML Transfer:

  • Dragging large batches (hundreds of messages) can freeze the Outlook desktop interface or truncate transfers.
  • Inline images and complex multipart MIME components may fail to render correctly in dragged items.
  • Nested directory hierarchies are not transferred automatically; you must recreate each subfolder manually.

Method 2: Dual IMAP Server Relay Sync

If you do not want to manage loose EML files and have an active email account with available cloud storage, you can use an intermediate IMAP mailbox configured in both email clients:

Step-by-Step Execution:

  1. Create or configure a dedicated IMAP email account and confirm that IMAP access is enabled in the account settings.
  2. Add that IMAP account to Mozilla Thunderbird (Tools > Account Settings > Account Actions > Add Mail Account).
  3. Drag your imported MBOX folders into the newly configured IMAP account inside Thunderbird. Thunderbird will upload the messages to the remote mail server.
  4. Add the same IMAP account to Microsoft Outlook (File > Add Account).
  5. Once Outlook completes its synchronization and displays the server folders, copy or move the messages into your primary Outlook .pst file or Microsoft 365 Exchange mailbox.
  6. Once transferred, delete the temporary emails from the intermediate server to release mailbox storage.
✕Caution

Watch Out for Daily IMAP Bandwidth Limits:

Major webmail providers enforce strict daily upload thresholds. For example, Google Workspace documentation specifies an IMAP client upload threshold of 500 MB per day (alongside a 2.5 GB/day download limit). Attempting to upload large MBOX archives through an IMAP relay will trigger bandwidth limit errors and stall transfers across multiple days.

Method 3: Direct Automated Conversion via Prism MBOX Converter

When dealing with deep folder structures, environments where Thunderbird cannot be installed, or workflows where you want to produce a standalone .pst file directly:

The Prism MBOX to PST Converter processes MBOX files directly, extracting messages and attachments into a standard 64-bit Unicode .pst file that can be opened in Outlook.

Step-by-Step Conversion:

  1. Launch Prism MBOX Converter on Windows or macOS.
  2. Click Add MBOX to select your .mbox files or folders (or click Auto-Detect Thunderbird Profile to locate installed mailboxes).
  3. Review loaded mailboxes and folder counts in the interactive item list.
  4. Choose PST as the output format.
  5. Configure target settings, including folder hierarchy preservation, split thresholds (e.g., 20 GB), or date range filters.
  6. Click Convert to generate the destination .pst file on your chosen drive.
ℹNote

Free Trial Evaluation: The demo edition processes and previews your MBOX files with up to 50 items per folder, letting you verify folder structure preservation and attachment integrity before purchasing.

Opening Your Converted PST in Outlook:

  1. Launch Microsoft Outlook.
  2. Go to File > Open & Export > Open Outlook Data File.
  3. Select your generated .pst file and click OK.

Your entire MBOX mailbox structure will mount directly in the left navigation pane of Outlook as an independent data file.

SysAdmin Checklist: Pre-Import Data Hygiene

Before importing legacy MBOX archives into corporate Outlook environments, run through these best practices:

  • 🗂️ Verify Source Header Integrity: Make sure your MBOX files aren't truncated mid-stream by inspecting raw From separators.
  • 📦 Split Huge Archives Over 40 GB: Keep individual output PST files under Outlook's default 50GB ceiling to prevent MAPI store slowdowns.
  • 🧹 Strip Duplicate Messages: Turn on deduplication filters during conversion to prevent redundant emails if multiple backup passes were made.
  • 🔒 Preserve RFC 822 Internet Headers: Ensure all transport headers (Authentication-Results, Received-SPF, Message-ID) remain intact for compliance and eDiscovery auditing.

Frequently Asked Questions

Can I import an MBOX file into the "New Outlook for Windows"?

The "New Outlook for Windows" (the web-based client replacing Windows Mail) doesn't support opening local .pst or .mbox files directly yet. To access your MBOX emails in New Outlook, convert your MBOX to PST using the Prism MBOX Converter, mount the PST in Classic Outlook or import it to your Microsoft 365 cloud mailbox, and the messages will sync across all New Outlook instances automatically.

Where are my Thunderbird MBOX files stored on Windows?

Thunderbird stores your MBOX archives inside your hidden AppData profile directory:

C:\Users\%username%\AppData\Roaming\Thunderbird\Profiles\[ProfileName]\Mail\Local Folders\

Files with no extension (like Inbox, Sent, Archives) inside these folders are raw MBOX databases.

Where does Apple Mail save MBOX files on a Mac?

In Apple Mail, right-click any mailbox in the sidebar and pick Export Mailbox.... Apple Mail will save a .mbox directory containing an internal mbox file. You can convert these directly on your Mac using the native macOS version of Prism MBOX Converter.

Will importing MBOX into Outlook alter my original files?

No. Professional conversion utilities read source MBOX files in strict read-only mode and construct a fresh, independent .pst database. Your original MBOX archives remain intact and unmodified on disk.
